Scheduled, Team-Allocated Cycle Counts for a 3PL and Manufacturing Operation with Inveck
Cycle Counts That Run Themselves
A 3PL and manufacturing company in India moved from ad hoc stock checks to a planned cycle count programme on Inveck — counts are scheduled in advance, items are allocated across team members, results are finalised and signed off on site, and reports are emailed to stakeholders automatically.
These numbers don’t happen by chance. See how it was done
Who is the client?
The client runs warehouses that store and move inventory for its own manufacturing as well as for 15 client brands. Thousands of SKUs move in and out every day across racks, bins and staging areas.
With stock changing constantly, an annual wall-to-wall count is not enough. The business, and the brands it serves, need regular cycle counts that cover high-value and fast-moving items more often — without stopping operations.
Book a DemoChallenges that held them back
Cycle counts were planned on spreadsheets and run on paper. They happened when someone had time, not when the business needed them.
Counts not scheduled
There was no fixed calendar. Counts slipped behind daily operations, and some locations went months without being checked.
Unclear ownership
Item lists were printed and shared out by hand. Some SKUs were counted twice, others not at all, and no one knew who had counted what.
No view of progress
Supervisors walked the floor to find out how far a count had got.
Finalisation dragged on
Sheets were collected, typed up and compared with system stock days later, so variances were investigated long after the stock had moved.
Reporting by hand
Results were compiled into Excel and emailed manually to operations, finance and client brands — late and in different formats each time.
Weak accountability to clients
Brands asked for evidence of regular counts, and the team had little more than spreadsheets to show.
How Inveck solved it
Inveck turned cycle counting into a planned, repeatable process with four parts: schedule the counts, allocate items to the team, finalise the results on site, and email the reports to everyone who needs them.
Item master and book stock were loaded into the Inveck web portal. Each cycle count was set up as a milestone with a start and end date and a defined scope — by location, category or SKU class. Items within each count were allocated to named team members, so every counter saw only their own list in the mobile app. A stakeholder list was configured for each warehouse and client so finalised reports would be emailed automatically.
Scheduled cycle counts
Counts are planned in advance with start and end dates, so they happen on time rather than when convenient.
Item allocation by team member
Each counter gets their own items or locations — no overlaps, no gaps.
Mobile counting
Counters scan or search items, enter quantities and add remarks on their phones, online or offline.
My Progress and Overall Progress
Each counter and supervisor sees updated vs pending lines and completion % in real time.
Pending and variance review
Review Pending and Review Excess/Short show what is left and where stock differs from the books.
Finalisation and sign-off
The Incharge signs digitally and final submit locks the count.
Emailed stakeholder reports
Count results and variance reports are emailed to operations, finance and client stakeholders.
Audit trail
Every entry carries the counter's name and timestamp.
How a Cycle Count Runs
A count moves from plan to inbox in five steps, with counters working in parallel on their own allocated items.

Cycle count flow · schedule to emailed report
The same flow repeats for every scheduled count, so each cycle is run and reported the same way.
Allocation and Reporting in Practice
Every count has a clear owner for every item, and every stakeholder knows what they will receive.
Sample allocation for one weekly cycle count — illustrative.
| Counter | Allocated scope | Line items | Status |
|---|---|---|---|
| Counter A | Aisles 1–4, fast movers | 180 | Completed |
| Counter B | Aisles 5–8, fast movers | 165 | Completed |
| Counter C | High-value cage | 60 | Completed |
| Counter D | Client brand X racks | 220 | Completed |
| Total | 625 | Finalised and signed off |
Who receives the emailed reports.
| Stakeholder | Report received | Use |
|---|---|---|
| Warehouse manager | Count summary and variance report | Follow up recounts and adjustments |
| Finance / accounts | Excess / shortage with values | Post adjustments, track shrinkage |
| Client brand contact | Count summary for their SKUs | Evidence of regular, accurate counts |
| Operations head | Coverage and completion across counts | Track cycle count programme health |
The results
Cycle counting became a dependable routine instead of a scramble, and everyone who needs the results now gets them without asking.
Counts happen on schedule
A planned calendar means every location and SKU class is counted at the frequency the business set.
No double counts, no missed items
Allocation gives each item one owner, so coverage is complete and effort is not wasted.
Supervisors see progress live
My Progress and Overall Progress replace walking the floor to chase counters.
Finalised on site, the same day
Variances are reviewed and the count is signed off before the team leaves the floor.
Reports reach stakeholders automatically
Operations, finance and client brands receive results by email as soon as a count is finalised — no manual compiling.
Stronger client confidence
Brands receive regular, consistent evidence that their stock is being counted and reconciled.
Higher inventory accuracy
Frequent, complete counts catch errors early, lifting record accuracy to 99.2%.
Our cycle counts used to depend on who was free and which spreadsheet was current. With Inveck, counts are scheduled, every team member knows exactly which items are theirs, and we close each count on the floor with a sign-off. The reports land in our managers' and clients' inboxes the same day — nobody has to chase anyone.
