From Handwritten Tags to QR-Verified Inventory

A multi-plant automotive manufacturer replaced pen-and-paper tagging with pre-printed QR codes and the Inveck mobile app, turning every verified item into a scannable, tamper-evident record.

Automotive ManufacturingClient overview

Who is the client?

The client is a multi-plant automotive manufacturer in India running large stores of spares, raw materials, work-in-progress and finished assemblies. Its statutory and internal audit calendar requires periodic physical verification of every line item against ERP book stock, often across thousands of SKUs and several storage locations.

With high-value parts spread across shop floors, bin locations and plant spare stores, the business depends on one thing: proof that every item on the books was physically seen, counted and signed off by a responsible person.

The problem

Challenges that held them back

Verification was done by hand. Auditors walked the stores with blank paper tags, wrote the item code, quantity and date on each tag, pinned it to the stock, and copied the same figures onto count sheets for later data entry.

01

Illegible and inconsistent tags

Handwriting varied by auditor. Smudged, faded or torn tags meant counts were questioned or redone, and the same item could be described three different ways.

02

Double entry, double errors

Every count was written twice — on the tag and on the sheet — then keyed into Excel or the ERP. Each hand-off introduced transcription mistakes and delayed results by days.

03

No control over tag numbers

Paper tags were not serialised against a master list. Duplicate tag numbers, skipped numbers and tags reused from a previous audit could not be caught on the floor.

04

Missed and double-counted items

With no live link to the book stock, auditors could not see what was still pending. Items were missed in one bin and counted twice in another.

05

Zero real-time visibility

Management only saw results after sheets were collected and consolidated. Progress, shortages and excesses surfaced weeks after count day.

06

Weak audit trail

Sign-offs from store in-charges sat on paper. Proving who counted what, when, and who approved it was slow during statutory and internal audits.

The solution

How Inveck solved it

Inveck replaced handwritten tags with pre-printed, serialised QR code stickers and a mobile verification app. Auditors now count an item, scan a fresh QR sticker into the app, and paste that same sticker on the verified stock. The tag on the shelf and the record in the system are one and the same.

Implementation process

Book stock for each plant was uploaded to the Inveck web portal as a milestone and allocated to named auditors. Each auditor logs in with a company Email ID built on their PR number. A batch of QR stickers is printed in advance, and its number range is assigned to the milestone, so only valid tags can be used. Training focused on the scan-and-paste routine, and teams were productive within a day.

01

Pre-printed QR tags

No handwriting. Each sticker carries a unique, machine-readable number.

02

Scan-to-record

Auditors tap the Tag Number field and scan the sticker; quantity, location and remarks are saved against it instantly.

03

Duplicate and range control

The app blocks a tag number already used and flags any barcode outside the permitted range on the spot.

04

Offline verification

Milestone data downloads to the phone, so counting continues in basements and stores with no network, then syncs.

05

Multi-field search

Items are found by Item Code, Item Name or other fields — up to three at once.

06

Unlisted item capture

Stock found on the floor but missing from the system list is added with the + option.

07

Live progress

Milestone dashboards show total, updated and pending line items and completion by quantity and value.

08

Digital sign-off

The store in-charge signs on screen; final submit freezes the milestone so it cannot be altered.

In detail

How It Works on the Shop Floor

The auditor never writes a tag. Each counted item gets a pre-printed QR sticker that the app checks before the entry is saved.

How It Works on the Shop Floor

QR verification flow on the shop floor · 11 steps, 1 check

An invalid or reused sticker is rejected on the spot, so the auditor simply takes the next sticker and scans again. Only after a valid save is the sticker pasted on the stock.

What changed

The results

Inveck did more than digitise the tag. It made every verified item self-evidencing — scan the QR on the shelf and the count, auditor, time and location come up.

01

Verification time cut by 60%

No writing, no copying to sheets, no data entry. A count is recorded the moment the sticker is scanned.

02

Transcription errors eliminated

One scan replaces three manual hand-offs (tag, sheet, Excel), so the count on the floor is the count in the system.

03

Duplicate and fake tags stopped at source

Range validation and duplicate detection mean every QR tag in the store is unique and traceable to this verification.

04

Nothing missed, nothing counted twice

Green cards for recorded items and a Review Pending list show auditors exactly what is left before they leave a location.

05

Same-day reconciliation

Excess and shortage lines are visible as counting happens. Reconciliation that took 3 weeks now starts the same day.

06

Audit-ready by default

Signed, frozen milestones give statutory and internal auditors a tamper-proof record of who counted what, when, and who approved it.

07

Instant traceability

Search by Item Code or scan a tag, and the item's verification record is on screen in seconds — no hunting through paper sheets.

Client feedback
We used to spend days writing tags by hand and weeks reconciling what we wrote. With Inveck, our auditors just count, scan the QR sticker and paste it on the stock. Every tag is unique, every count is in the system the moment it is made, and our store in-charges sign off on the phone. For a plant of our size, that is a fundamental change in how we prove our inventory.
